Students' Union Transport Fleet

The Students' Union offers a range of minibuses and MPV's that are available for hire by Societies and Sports Clubs for their events. The vehicles also are available to all staff members of the Union and University. All forms that you are required to submit need to be sent to student.activities@aston.ac.uk unless stated otherwise. The vehicles are booked on a first come first serve basis therefore if you submit a late booking you are not guaranteed a vehicle. If all our vehicles are booked then we are able to hire a vehicle for you. When booking transport for a Societies or Sports Clubs it's essential you read all the documents and make yourself aware of our procedures and policies.

Accident Form

If you are in an accident or a near miss, it is essential that this form is completed. A near miss is when you had to react to something which could have potentially caused an accident. As committee members, it is your responsibility that we receive this information when this occurs to any member of the team. You should download the form below and send it to: n.al-kudcy@aston.ac.uk AND r.broome@aston.ac.uk. In the event of an accident, there are two forms that you will be required to complete: the QBE Incident Report Form which is sent to our insurers and our internal Accident Report Form which is used and filed internally. You are to print the accident report form and draw the diagrams of the accident on there; this is sent to the insurance company. You can download the forms below:

Drivers Guide and Transport Booking Information

The drivers guide information details the process of using the Union Fleet. You are required to keep up-to-date with this information and it is essential that you go through each point before you drive any of the vehicles. It is important that the Driver's Guide and the Vehicle Usage Booklet are read and that you consider everything in them while driving a union vehicle. Before being eligible to drive the vehicles you are to familiarise yourself with the information on these booklets. The Transport Booking information contains all the details of the vehicles, and the requirements you are to adhere to. It is also essential that you familiarise yourself with the information in this booklet before you are to drive a union vehicle. All the information contained in these documents is mandatory information that you are required to know. It is the driver that is legally responsible for the vehicle and all of the passengers.

Mileage Charges

First 100 miles will be charged a 50p per mile

The next 100 miles will be charged at 45p per mile

The next 100 miles will be charged at 40p per mile

And any miles any after that will be charged at 30p per mile

Minibus Charges

Non Club/Society Use

For non club/society use of the vehicles, the mileage charges are as follows:

First 100 miles will be charged a 80p per mile

The next 100 miles will be charged at 55p per mile

The next 100 miles will be charged at 50p per mile

And any miles any after that will be charged at 40p per mile

Vehicle Request Form

In order to book a vehicle you a required to submit a vehicle request form. The vehicles are given on a first come first serve basis therefore the vehicles will be assigned to whoever submits a form first. If we do not receive a request form we are not able to assign you a vehicle. The vehicle request form then needs to be approved by the Student Activities Manager. You can find the form below:

Passenger List

Before you are able to take the vehicle you are required to give a passenger list of anyone that will be travelling in the vehicle. We understand that you may not know all passengers travelling when you collect the vehicle, therefore you may fill this out electronically when you leave. This is also to be used when any changes occur in terms who will be travelling - and must be completed for your outgoing and incoming journeys. You are to email this to student.activities@aston.ac.uk - each vehicle will require its own passenger list.

Fleet Vehicle Orientation Programme

To be eligible to drive union vehicles you need to have a Full UK Driving License, No Current Penalty Points or Pending Points, and be over the age of 21. In order to drive the union vehicle, you are required to complete the fleet vehicle orientation programme. The fleet orientation programme for this year is conducted by the chair of the SA Executive Committee. To book a position for the test please fill in both forms below and email them to the student activities department. Before you are able to take the test you are required to read the Driver's Guide and the Transport Booking Information. It is good practice for you to keep up to date with these documents.

Minibuses have a strict weight limit and very little room for baggage. It is essential that you consider the weight of how much you are carrying and the number of passengers and other kit that you may have. You are not allowed to block the aisle or any emergency exits so, therefore, you must compensate passengers.

The maximum payload of the 17 seater cannot exceed 4250KG so, therefore, you need to make sure that how many people or luggage you have does not exceed the 4250KG payload.

It is illegal to leave anything in the gangways, against doors, on laps, etc. due to severely limited space if you need to exit in an emergency

it is also illegal to overload in any way

Defects Report From

If a defect is found on a vehicle before you use it then that vehicle should not be used at all; it should be reported straight away to the Student Activities Office if there is another vehicle available it will be provided. The defects report form should be used on any vehicle that is booked through the Student Activities Office this includes our own vehicles and any lease/hire vehicles. You are to fill in this form with as much detail as possible as soon as the defect is found.

Terms and Conditions

In order for you to be eligible to drive a union vehicle you need to agree to the terms and conditions; when you book a vehicle you have to agree to the terms and the conditions. It is the responsibility of the driver to ensure the safety of the passengers and that the vehicle is driven in a sensible and safe manner.
