Trips and Tours

When going on a trip, in the UK or abroad, we require some information from you. You are to advise the Student Activities Office any time that you are organising a trip. This includes day trips within the UK and when you go abroad. It is vital that you provide us with this information before you on your trip. The information that we need is below: you are required to fill in these forms and read the information. If you require any assistance you can come into the Student Activities Office.

UK

Participants List and Contact Information

Whether you're staying in the UK or traveling abroad we require a list of all students attending the trip, along with their student numbers. As well as this, you must also provide us with full details of where you will be going, and where you will be staying (if applicable). We also require a minimum of 2 emergency contact numbers. All of this information is to be submitted at least 48 hours before you are due to depart on your trip. Please email this to student.activities@aston.ac.uk OR hand it in at the Student Activities office.

Emergency Procedure

In the event of an emergency, please make every effort to follow the Emergency Procedure. Your number one priority should be the safety of all your members. If you are planning any activity you need to contact the Student Activities Office and book an appointment to go through a risk assessment. This procedure is to be used for both UK and International trips.

Event/Trip Request Form

In order to arrange a trip, whether it is in the UK or abroad, you must submit a request form. This request form is to be filled out by a member of the committee. You are also required to sit down with a member of staff that is qualified so that you are able to go through the Risk Assessment.

Abroad

Trip Abroad Request Form

When planning a trip abroad you are to submit a request form; this then will be approved by the Student Activities Manager. Without this approval, you will not be able to go on the trip. It is essential that you provide this information before making arrangements. This form is to be filled in and sent to student.activities@aston.ac.uk or brought in to the Student Activities Office. The sales for the tour should be distributed only through the Aston Students' Union website; you can not use an external company to do this. Please ensure that a Risk Assessment is completed BEFORE you begin to make plans for your tour. Without this the tour will not be able to go ahead.

Tour Abroad Information

The Trips abroad information pack is here to provide you with all the necessary details required for your trip. You are to adhere to this information when you are going on a trip. This pack contains information on what to do in an emergency involving any members of a club or society on tour.

Tour Abroad Details

You are required to provide details of the tour, this information is to be submitted before you depart on your trip. You can fill in the form electronically and then email it to student.activities@aston.ac.uk or bring in a paper copy into the Student Activities Office. You are to provide details of the tour that you are organising and also provide emergency contact details. It is essential that all members attending have provided their emergency contact information. This information is to be recorded and put into the form below. As committee members organising the trip it is your responsibility that this information is provided. Please fill in the emergency contact list for all people attending.
