Information you need to fill in for trips and tours

When going on a trip, in the UK or abroad, we require some information from you. You are to advise the Student Activities Office any time that you are organising a trip. This includes day trips within the UK and when you go abroad. It is vital that you provide us with this information before you on your trip. The information that we need is below: you are required to fill in these forms and read the information. If you require any assistance you can come into the Student Activities Office.  

UK

Whether you're staying in the UK or traveling abroad we require a list of all people that will be attending the trip, with their student numbers. This is to be submitted 48 hours before you are due to go on your trip. Within this information, you need to provide the address of where you will be staying if you are spending more than one day there. If you are going to be visitting several locations on your trip, you need to specify each location. You also need to provide at least 2 emergency contact numbers. This information is to be provided even if you are making your own way there 48 hours in advance of you leaving. You are to email this to student.activeties@aston.ac.uk or come in and hand it into the Student Activities Office.
The emergency contact procedure is to be followed in the event that something does occur. Your number one priority should be the safety of all your members. If you are planning any activity you need to contact the Student Activities Office and book an appointment to go through a risk assessment. This procedure is to be used for both UK and International trips.
In order to arrange a trip, whether it is in the UK or abroad, you must submit a request from. This request form is to be filled out by a member of the committee. You are also required to sit down with a member of staff that is qualified so that you are able to go through the Risk Assessment.

Abroad

When planning a trip abroad you are to submit a request form; this then will be approved by the Student Activities Manager. Without this approval, you will not be able to go on the trip. It is essential that you provide this information before making arrangements. This form is to be filled in and sent to student.activities@aston.ac.uk or brought in to the Student Activities Office. The sales for the tour are to be distributed only through the Aston Students' Union website; you can not use an external company to do this. A mandatory protocol is for there to be a Risk Assessment to be completed, this is also to be done before you start to make plans for the tour as there is a possibility that the risk involved is too high for you to go on tour.
The abroad information pack is here to provide you with all the necessary details required for your trip. You are to adhere to this information when you are going on a trip. This pack contains information on what to do in an emergency involving any members of a club or society on tour.
You are required to provide details of the tour, this information is to be submitted before you depart on your trip. You can fill in the form electronically and then email it to student.activities@aston.ac.uk or bring in a paper copy into the Student Activities Office. You are to provide details of the tour that you are organising and also provide emergency contact details. It is essential that all members attending have provided their emergency contact information. This information is to be recorded and put into the form below. As committee members organising the trip it is your responsibility that this information is provided. Please fill in the emergency contact list for all people attending.
